How do I set up DUO with my Polk State accounts?

All Polk State staff and faculty will be sent an enrollment email from DUO Security. This will allow users to register their phones or tablets. Those who deleted or cannot find the email should contact Polk State’s DUO Administrator Barry Collins at bcollins@polk.edu to receive a new enrollment email.

New employees will receive an enrollment email at the start of their tenures. DUO's enrollment guide can be found here.

What is DUO Mobile?

DUO Mobile is a free mobile application that you install on your smartphone or tablet to generate passcodes for login or receive push notifications for easy authentication on your mobile device. It works with DUO Security’s two-factor authentication service to make your logins more secure. It can be downloaded by visiting the App Store (Apple) or Google Play Store (Android).

How does DUO Push work?

The preferred option for the College is DUO Push, which is the fastest and most secure method of authentication available.

When you log in in to DUO-protected application such as your Polk State email or Passport, users will still enter their username and password. Once that happens, users will be required to verify their identity by selecting an authentication method.

To use DUO Push, click the button that reads, “Send Me a Push.” This will send an authentication request to your smartphone or tablet. A login request will be sent to your device for you to approve or deny. Selecting the “Approve” will complete your login.

Do I need to use DUO every time I log in to one of my Polk State accounts?

DUO allows approved access to a device for 12 hours. You can approve any computer that you commonly use and will not be required to provide two-factor authentication. You may be asked to authenticate again if you try logging in from a different device within those 12 hours.

What happens if I forget my phone?

You are encouraged to set up DUO on more than one phone (such as your desk phone) in case you forget a phone at home.

What are my authentication options?

Polk State users with smartphones are encouraged to use the DUO Mobile application. For those without smartphones, there are options to register a regular cellphone. Help in registering a device can be found at this tutorial link. For those without smartphones, Step Four in the link provided will be the final step to enroll a regular cellphone for two-factor authentication.

 

Will the College have access to personal information on my smartphone by using DUO Mobile?

The College will have no access to users’ personal information nor be able to track or see any activity use on the device. DUO Security’s policies and procedures can be found here.

A DUO push did not work, so I had to use the “Call Me” option. What is that?

Sometimes the DUO Mobile app will not launch as intended on your smartphone. Usually, a simple reboot of your phone will resolve this issue. If you don't wish to reboot your smartphone you can manually launch the DUO app. Your notification should be there waiting for your approval.
